What should my child bring to camp each day?
Please send your child with: - Packed lunch and snacks - Refillable water bottle - Football boots - Shin pads - Weather-appropriate clothing (including a waterproof jacket) - Suncream (applied before arrival and sent for reapplication) Please label all belongings with your child's name.
What are the camp times?
Camp runs daily from **9:00am to 3:00pm**. Registration opens at 8:50am. Please collect your child promptly at 3:00pm.
What ages is the camp for?
Our summer football camp is for boys and girls aged **6–12**. Players are grouped by age and ability to ensure everyone gets the most out of their sessions.
Do I need to pay today?
**No payment is required today.** Registering your child reserves a provisional place. We'll contact you once the venue is confirmed with full payment details — payment will be due before camp starts.
Are sibling discounts available?
Yes! We offer a **15% sibling discount** for additional children booked from the same family. This is applied automatically when you register multiple children.
What happens if my child is ill on the day?
If your child is unwell, please do not send them to camp. Contact us as soon as possible so we can update our registers. Unfortunately, we are unable to offer refunds for missed days due to illness, but we will do our best to accommodate a transfer to another day subject to availability.
Who are the coaches?
All sessions are led by **UEFA-qualified coaches** who are DBS-checked, first-aid trained, and experienced in working with children. Each group is supported by a dedicated coach throughout the day.
Is the camp safe and insured?
Yes. All our coaches are DBS-checked, first-aid qualified, and hold relevant safeguarding certifications. We maintain appropriate coach-to-player ratios and follow our safeguarding policy at all times. Full details are available in our policy documents below.
Can I book individual days?
Yes! You can book individual days, full weeks, or both weeks. Pricing is: - **£30 per day** - **£125 for a full week** (save £25) - **£240 for both weeks** (save £60)
Summer Camp Safety Information
**The Lucan Pavilion / Laleham Recreation Ground — Effective: Summer 2026** ### How the camp area will be secured The camp operates on the **main senior football pitch** — a clear, defined and controllable coaching area. - The pitch is cordoned off using spectator-style barriers and cones - There is a clear controlled entry and exit point for camp use - Coaches maintain clear line-of-sight across the entire camp area at all times - Children are reminded every day that they must not step outside the pitch boundaries ### Public access, tea room and shared venue use The Lucan Pavilion is a public-access space with an operational tea room on site, fully evaluated in our venue-specific risk assessment. - The camp area is located away from the tea room and normal public access areas - Children are strictly prohibited from entering any public areas or the tea room independently - Coaches continuously monitor the perimeter of the secured pitch throughout the day - Any member of the public approaching the camp boundary will be immediately met and managed appropriately by our coaching staff ### Dog walking and dog club areas - The main senior football pitch is away from the dog walking areas - The dog club area is a significant distance from the camp boundary - Children will be told not to approach dogs or members of the public - The pitch is checked each morning before activity starts to ensure the grass is completely clean and clear ### Toilets, changing rooms and movement around the venue - Children are always accompanied by a member of the coaching team when moving to and from the toilets or changing facilities - Separate designated changing rooms for boys and girls - Designated camp welfare areas are used for safely storing belongings, taking shaded rest breaks, and managing welfare needs - No child is allowed to walk around the venue alone ### Sign-in, sign-out and supervision - Parents must physically bring children to the designated sign-in point — children must never be dropped off in the car park to walk to the camp area alone - Children will only be released to primary parents or authorised adults explicitly listed on our website booking system - If an unlisted adult needs to collect your child due to an unexpected change or emergency, you must text or call Daniel Reilly directly before the end of the camp day - The camp is managed by multiple qualified coaches throughout the day - Formal headcounts are completed systematically throughout the day — following morning sign-in, toilet trips, snack breaks, lunch, and immediately prior to afternoon sign-out ### First aid, hydration and medical safety - Fully qualified first aiders are on site and pitch-side throughout the duration of the camp - A defibrillator (AED) is accessible on site at the venue - If your child requires medication (such as an asthma inhaler or EpiPen), it must be clearly labelled with their name, handed directly to Daniel Reilly at morning sign-in, and accompanied by written administration instructions - **Strict Nut-Free Policy:** We operate a strict zero-tolerance nut-free policy. Please do not pack loose nuts, peanut butter, Nutella, or any snack bars containing nut products - Clean, running drinking water is always available on-site for water bottle refills. Structured water breaks are held every 15–20 minutes, especially during hot weather ### Kit Checklist - Packed lunch, healthy snacks, and a full refillable water bottle - Mandatory shin pads - Sun hat - Sunscreen: parents must apply high-factor sunscreen to their child before drop-off. Lockdown and Shelter-in-Place Policy
**For Holiday Camps, Development Centres and Outdoor Coaching Sessions** **Policy aim:** To provide a calm, practical procedure for protecting children and staff during an emergency where remaining in place, moving indoors, or restricting movement is safer than a normal evacuation. ### When this policy may be used A lockdown or shelter-in-place response may be used in situations including: - A threatening, aggressive or suspicious person on or near the site - A dangerous dog or animal-related incident - A police incident or public safety concern near the venue - Severe weather, including lightning, high winds or extreme heat - A medical emergency requiring the area to be controlled - A missing child concern requiring the wider group to be secured - An instruction from emergency services or venue management ### Venue-Specific Arrangements: Lucan Pavilion - Children are not permitted to leave the secured camp area unless accompanied by a coach - In most situations, the first response is to keep children within the secured, barriered pitch area while coaches assess the risk - If remaining on the pitch is not safe, children will be moved calmly to the designated secure indoor area, changing rooms, pavilion space or another agreed safe location ### Lockdown Levels DR Coaching Collective Ltd uses two levels of lockdown response (soft lockdown and full lockdown). ### Staff Roles During Lockdown **Daniel Reilly / Camp Lead:** - Takes overall control of the response - Decides whether soft lockdown, full lockdown, evacuation or another action is required - Contacts emergency services where needed and communicates with venue management - Oversees parent communication and ensures the incident is logged and reviewed **Register Lead:** - Accesses the digital register and completes a headcount - Confirms all children, coaches and volunteers are accounted for and reports to Daniel Reilly **Group Coaches:** - Keep children calm and together, follow instructions from the camp lead, and move children safely if relocation is required **Boundary / Access Coach:** - Monitors the camp boundary where safe to do so, prevents children leaving the secured area, and directs emergency services or venue staff if required *No coach should put themselves at unnecessary risk. If there is an immediate threat, staff prioritise moving children to safety and calling 999.* ### Instructions for Children Children are briefed at the start of camp. If coaches announce a safety instruction, they must: - Stop immediately, listen to the nearest coach, stay with their group - Move calmly and quickly if asked, remain quiet if instructed - Never leave the group — tell a coach if they feel worried, unwell or cannot see their friend/sibling ### Parent Communication - In an active emergency, parents should not attend the venue unless instructed by DR Coaching Collective Ltd or emergency services - Unexpected parent arrival during an incident may block access for emergency vehicles, increase congestion, and make it harder to account for children - Parents will be contacted as soon as it is safe and appropriate via text, phone call, email or website/app update - Children will only be released to authorised adults once Daniel Reilly or the designated lead confirms it is safe to begin collection ### Recording and Review After any lockdown or serious security concern: an incident report is completed, parent communication is recorded, staff complete a debrief, and the risk assessment is reviewed.
Drop-Off, Pick-Up & Late Collection Policy
**Effective Date: 1st July 2026** We take our duty of care very seriously from the moment a child is signed into our care until they are signed out. ### 1. Daily Drop-Off & Sign-In - **Supervision Window:** Staff are legally responsible for participants only during the exact scheduled hours of the booked session or camp - **Accompanying Children:** Parents must accompany their child to the designated coaching gate or sign-in area. Children must never be dropped off in a car park to walk to the pitches alone - **Digital Register:** A child is not legally in our care until they have been marked as present on our web application digital register by an active coach ### 2. Standard Pick-Up & Authorised Collection - **Punctuality:** Parents or guardians must arrive to collect their child promptly at the scheduled end time - **Authorised Adults:** Children will only be released to the primary parents/guardians or individuals explicitly named on the booking form via our web application - **Sudden Changes:** If someone else is collecting your child due to an emergency, you must text or call Daniel Reilly directly before the end of the session to confirm their name and identity. Staff will not release a child to an unlisted adult without verbal or written confirmation ### 3. Late Collection Procedures & Fees - **10-Minute Grace Period:** Coaches will wait with the child at the designated pickup area for 10 minutes past the session end time - **Contacting Parents:** If no one has arrived after 10 minutes, staff will call the primary parent/guardian. Fire and Evacuation Policy
**Effective Date: 1st July 2026** This policy details our approach to managing fire risks, planning for safe evacuations, and responding to potential security threats, in compliance with UK fire safety legislation (including the Regulatory Reform (Fire Safety) Order 2005). ### On-Site Fire Safety Management - Comprehensive fire risk assessments are conducted for all training venues, reviewed annually or immediately following any operational changes - We work closely with venue providers to confirm that fire detection, alarms, and fire extinguishers are regularly tested and fully serviced - All emergency exits are kept completely clear of training equipment at all times ### Evacuation Procedures In the event of a fire, building alarm, or any emergency requiring immediate evacuation: 1. **Raise the Alarm:** The person who discovers the danger must instantly raise the alarm by shouting "Fire!" or "Evacuate!", or by activating the nearest wall-mounted fire alarm point 2. **Evacuate Immediately:** Everyone must leave the area calmly using the nearest safe escape route. Nobody should stop to collect personal belongings 3. **Assemble:** Coaches guide children directly to the venue's designated Primary Assembly Point. Health and Safety Policy
**Effective Date: 1st July 2026** The health, safety, and well-being of all players, coaches, volunteers, and visitors are of paramount importance. This policy complies with UK legislation, including the Health and Safety at Work etc. Act 1974, and Football Association (FA) guidelines. ### Risk Assessment and Management - Comprehensive risk assessments are conducted for all venues, activities, and training equipment, reviewed every year or immediately following any operational changes - Weather safety is explicitly accounted for — we monitor forecasts and implement control measures for extreme heat or severe cold, heavy rain, and lightning - All coaches are briefed on these risk assessments ### Equipment & Facility Checks - Coaches conduct visual safety checks of the pitches, goals, and training kit before every session - Any damaged, worn, or unsafe equipment is removed from use immediately - Children must wear clothing suitable for physical activity and the outdoor weather. **Shin pads are mandatory** for all football activities ### First Aid Provision - A qualified First Aider holding current FA first aid certifications is present at every active session - Fully stocked and regularly checked first aid kits are kept pitch-side at all times - Every injury, no matter how minor, is logged on an internal Incident Report Form. Safeguarding Policy
**Effective Date: 1st July 2026** At DR Coaching Collective Ltd, we are completely committed to creating a safe, positive, and inclusive environment for all children and young people. This policy adheres strictly to UK safeguarding legislation, including the Children Act 1989 and 2004, and aligns fully with The Football Association's (FA) safeguarding framework. ### Recruitment & Vetting Standards - **Enhanced DBS Checks:** All staff and volunteers aged 18 and over must pass an Enhanced DBS check, including a check of the barred lists, before coaching. These are regularly renewed - **Core Qualifications:** All coaches aged 18+ must hold an active FA Safeguarding Children Course certificate, a valid FA first aid certification, and foundational coaching qualifications - **Junior Coaches:** Coaches under 18 complete the FA Playmaker course and the FA Safeguarding Children Workshop. They are never left alone with children and are closely supervised by DBS-checked adults - **Lead Oversight:** Daniel Reilly holds an Enhanced DBS check, Emergency First Aid certification, and a UEFA B Licence ### First Aid & Health Supervision A sufficient number of coaches, including the on-site session or camp lead, are trained in Emergency First Aid. Fully stocked first aid kits are pitch-side at all times. ### Recognizing & Responding to Concerns Our entire team is trained to recognize the signs and symptoms of abuse, neglect, or emotional harm. If a parent, child, or coach has a safeguarding concern, it must be reported immediately to Daniel Reilly, our Designated Safeguarding Officer (DSO). ### Confidentiality & Information Sharing All safeguarding concerns are handled with the highest level of privacy. Information is shared strictly on a confidential "need-to-know" basis in line with UK GDPR. Severe Weather & Heatwave Policy
**Effective Date: 1st July 2026** The safety of our players and coaching staff is our absolute priority. Because our weekly centres and holiday camps take place in outdoor environments, this policy outlines how we monitor, manage, and respond to extreme or hazardous weather conditions. ### Severe Cold, Rain, and Ground Conditions - Before any session, the head coach completes a visual pitch inspection to check for waterlogging, frost, or frozen ground - If a pitch is deemed unsafe or unplayable, we will cancel the session. We aim to notify parents via text/email at least **1.5 to 2 hours** before the scheduled start time - If we cancel a session due to weather, a credit for a future session or a pro-rata refund will be issued - On cold or rainy days, parents must send children with appropriate layers (thermal base layers, waterproof jackets, beanies, and gloves). Coaches reserve the right to sit a child out if they are unsafely underdressed for freezing temperatures ### Thunderstorms and Lightning - **The 30/30 Rule:** If thunder is heard within 30 seconds of a lightning flash, all outdoor activity stops immediately - Coaches will safely move all participants indoors or to a designated secure structure - Activity will not resume until **30 minutes after the last sound of thunder** or flash of lightning ### Heatwaves and Extreme Heat During summer holiday camps or hot weather periods: - **Hydration Audits:** Coaches conduct mandatory, timed drink breaks every 15–20 minutes. No child will be allowed on the pitch without a full, refillable water bottle - **Sunscreen Protection:** Parents must apply high-factor (SPF 30+) sunscreen to their child before drop-off. Children should bring a labelled bottle of sunscreen to reapply during lunch. Coaches can supervise but cannot directly apply sunscreen to children - **Sun Hats & Shade:** We strongly encourage children to wear light-coloured sun caps. During peak UV hours, coaches adapt the session layout to utilize shaded areas, lower the intensity of drills, and extend rest periods - **Monitoring for Heat Illness:** Staff are trained to watch for early signs of heat exhaustion, including dizziness, headaches, excessive sweating, or unusual fatigue. Terms and Conditions
**Version 2.0 — Effective Date: 1 July 2026** These Terms govern all bookings made with DR Coaching Collective Ltd (Company No: 16473597). By completing a booking, you confirm that you are the parent, legal guardian, or authorised person responsible for the participant and that you have read, understood and accepted these Terms. ### Bookings & Payments - All bookings must be made in advance through our official web application - Sessions and programmes must be paid for in full at the time of booking, unless a specific payment plan has been agreed in writing - Multi-session and sibling discounts may be available — please contact us before booking to obtain relevant codes, as discounts cannot be applied retrospectively - We reserve the right to cancel any unpaid bookings without prior notice - Your booking is confirmed only when you receive a confirmation email from our platform ### Cancellations, Refunds & Transfers **Football Camps:** - Cancellations made more than 7 days before the camp starts will receive a full refund - Cancellations made less than 7 days before the start date are non-refundable, except in documented cases of serious illness or injury **Weekly Centres (Monday & Saturday):** - We do not offer refunds or credits for individual sessions missed within a term or block booking - If a child cannot participate for three or more consecutive sessions due to illness or injury, we may offer a pro-rata credit or refund with a written request and valid doctor's note **Cancellations by Us:** - If we need to cancel a session or camp (e.g., due to extreme weather or venue issues), we will offer you a credit for a future session, a rescheduled date, or a full refund - Sessions may also be shortened, relocated or abandoned if weather conditions become unsafe after they have started Bookings cannot be transferred to another child without our prior written approval. ### Health, Medical & Safety - You must provide full, accurate details of any medical conditions, allergies, regular medications, or existing injuries during the online booking process - If your child needs to bring medication to a session, it must be clearly labelled and handed to coaching staff upon arrival, along with clear instructions - A qualified first aider will be present at every session. By booking, you give us permission to administer appropriate first aid if an injury occurs - If a medical emergency arises and we cannot reach you, we reserve the right to seek professional emergency medical treatment for your child - Children who are unwell (fever, vomiting, or contagious conditions) must not attend. We reserve the right to send a child home if they appear too unwell to participate ### Nutrition & Hydration - **Holiday Camps:** Children must bring a packed lunch, healthy snacks, and a full, refillable water bottle. All food must be completely nut-free - **Weekly Centres:** Children must bring a full, refillable water bottle. If they bring a snack, it must be nut-free - While we maintain a strict nut-free policy for food brought on-site, we cannot guarantee an entirely allergen-free environment ### Clothing & Equipment - Children must wear appropriate sports clothing and suitable footwear (trainers or football boots depending on the surface). **Shin pads are mandatory** - Please dress your child appropriately for the outdoor weather - Children are responsible for their own gear. Accident and Emergency Policy
**Effective Date: 1st July 2026** The safety and well-being of all participants, staff, volunteers, and visitors is our absolute highest priority. This policy outlines our clear procedures for responding to minor accidents, injuries, medical emergencies, and other critical situations. ### Immediate Response to Incidents - **Safety First:** The immediate priority is the safety of the affected person and those around them - Staff will quickly and calmly assess the severity of the incident - A qualified First Aider will provide immediate treatment - If necessary, the surrounding area will be secured to prevent further danger - **Head injuries** are always treated as potentially serious — unless there is immediate danger, an injured person will not be moved until it is deemed safe by a First Aider or emergency services - Coaches will support and comfort the injured individual and any other children who may be distressed ### Accident Reporting & Logs - Every incident, injury, or near miss — no matter how minor — must be reported immediately to Daniel Reilly and recorded on an official Incident Report Form - The report documents the date, time, location, names of those involved, details of the injury, first aid administered, witness statements, and follow-up actions - Serious injuries or dangerous occurrences that fall under **RIDDOR** (Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013) will be reported to the Health and Safety Executive (HSE) - All records are kept confidential and stored securely ### Parent Notification & Emergency Contacts - Parents must provide accurate, up-to-date emergency contact details when booking - **Minor Injuries:** For minor incidents (small cuts, grazes, or minor bumps), parents will be informed at the end of the session during collection - **Serious Incidents:** In the event of a serious injury or medical emergency, coaches will call the primary parent/guardian immediately. Code of Conduct
**Effective Date: 1st July 2026** At DR Coaching Collective Ltd, we want everyone to enjoy their football, develop their skills, and feel safe. We work in partnership with Laleham FC and fully support the Football Association's (FA) "Respect" principles. This Code of Conduct applies to all players and participants, parents/guardians/spectators, and coaches/staff/volunteers. ### Expectations for Players **Respect and Kindness:** - Treat your teammates, opponents, coaches, and referees with respect and kindness, no matter their background or ability - Swearing, abusive language, or teasing is strictly forbidden - Bullying, physical aggression, or targeting anyone online (cyberbullying) will not be tolerated - Welcome new players and help others if they are struggling **Good Sportsmanship:** - Always listen to your coaches and follow their instructions - Work hard, try your best, and encourage your teammates - Win and lose gracefully — shake hands at the end of matches and say thank you to your coaches and officials **Safety and Property:** - Wear your mandatory shin pads and appropriate footwear to every session - Bring a full water bottle to stay hydrated - Take care of the training equipment and the school or pavilion facilities. Do not litter - Tell a coach immediately if you get hurt, feel unwell, or see something unsafe ### Expectations for Parents and Spectators - **Be Positive:** Praise effort and improvement, not just winning. Keep your comments supportive from the sidelines - **Let the Coaches Coach:** Allow our trained coaches to guide the sessions. Please do not shout instructions or confuse the players during drills or matches - **Respect Decisions:** Accept the decisions of our coaches and match officials. If you have a concern, please discuss it with us politely and privately after the session - **Punctuality:** Ensure your child arrives ready to play on time and is collected promptly ### Expectations for Our Coaches and Staff - Lead by example — always model fair play, inclusion, and respectful communication - Maintain safe environments, keep first aid skills up to date, and monitor player well-being closely - Ensure all players receive constructive support and a positive environment to grow, regardless of their skill level ### Consequences of Breaching the Code If someone breaks these rules, it may result in: - A formal verbal warning - A brief "time-out" or temporary exclusion from a drill or session - A formal meeting with parents to discuss behaviour - Temporary suspension from our centres or camps - Permanent exclusion from all DR Coaching Collective Ltd activities, without a refund *Serious breaches involving safety risks, violence, discrimination, or safeguarding issues will be immediately reported to external authorities, including the police, Local Authority Children's Services, or the FA.* **Contact:** Daniel Reilly — 07792 819968 — drcoachingcollective@gmail.com
